How an AI voice agent works
- It listens: speech recognition turns the caller's words into text.
- It understands and decides: a language model works out what the caller wants and what to do, using only the information and tools you give it.
- It acts: checks your calendar, books a slot, looks up an order, or takes a message.
- It speaks: a natural-sounding voice replies, usually within a second or two.
- It hands over: when a call is urgent, sensitive or confusing, it transfers to a person or promises a call back.
What voice agents are good at
| Task | Good fit? | Notes |
|---|---|---|
| Opening hours, location, prices | Yes | Answers the same questions perfectly every time |
| Booking and rescheduling | Yes | Needs access to your calendar or booking system |
| Order and delivery status | Yes | Needs a lookup in your order system |
| Taking detailed messages | Yes | Sends a summary by email or WhatsApp |
| Complaints and refunds | Partly | Collect details, then hand to a person |
| Medical, legal or financial advice | No | Always a qualified person |
Benefits beyond missed calls
- Every caller gets an answer, including at night and on weekends.
- Staff focus on the customer in front of them instead of juggling the phone.
- Every call is summarised, so you see what customers ask most often and can fix the causes.
- It scales on busy days without hiring temporary staff.
What to check before you switch one on
- Tell callers they're speaking to an AI assistant. It's honest, and many places expect it.
- Make human handover easy: "press 0 or say 'person' at any time".
- Test it with real accents and languages your customers use, including switching between English and Kiswahili if that's your market.
- Limit what it can do. Booking is fine; issuing refunds or changing prices should need a person.
- Check call recording and data rules in your country before recording or storing calls.
- Review a sample of calls weekly for the first month and fix the answers it gets wrong.
Start narrow: let the agent handle after-hours calls and overflow first. Once it's handling those well, widen its hours.
Phone calls vs WhatsApp
In many markets, including Kenya, a large share of customer conversations happen on WhatsApp rather than by phone. The same AI that powers a voice agent can answer WhatsApp messages, and text is usually cheaper and easier to get right. Many businesses start with a WhatsApp or website chatbot and add voice later.
What it takes to set up
- A phone number that can forward calls to the voice service.
- Your knowledge: FAQs, prices, policies and the questions you're asked most.
- Connections to your calendar, booking or order system.
- Clear rules for when to hand over, and to whom.
An AI voice agent won't replace your best people, but it will make sure no customer reaches a ringing phone with nobody there. Start with after-hours calls, measure the bookings it saves, and grow from there. We build voice agents and WhatsApp chatbots connected to your calendar, CRM and payment systems, for businesses in Kenya and worldwide.
